PA to Joint Chief Executive

This role requires an experienced and highly skilled Personal Assistant with gravitas, poise and strong networking skills to provide an exceptional level of comprehensive administrative and organisational support to the Joint Chief Executive.  Reporting directly to the Joint Chief Executive and providing support to the wider Board of Directors, this role requires outstanding organisation and coordination skills with total discretion and the ability to think and work proactively at all times. 

It is essential to be comfortable engaging with a wide variety of internal and external stakeholders and industry professionals and to represent MF Freeman Ltd and its subsidiary companies in a professional manner.

The successful candidate:

You will be an enthusiastic and committed professional as well as an intelligent and pro-active individual with excellent organisational skills to support our CEO’s fast-paced and often changing work schedule. Working with the CEO and all aspects of his business life and some personal matters will require honesty, integrity, trust and discretion at all times.

  • Manage the diary of the CEO, liaising with internal and external contacts as required to arrange meetings.
  • Screen telephone calls and act as an effective gatekeeper to the CEO, ensuring relevant contact is allowed through.
  • Organise meetings, conferences and events.
  • Monitor emails, identifying critical emails and dealing with urgent requests.
  • Deal with incoming email and post.
  • Produce documents, briefing papers, reports and presentations, for internal and external use by Directors.
  • Process expenses.
  • Maintain contacts list.
  • Ensure the Directors have management data and reports ready for meetings.
  • Ensure accurate filing and archiving of correspondence and technical documentation.
  • Manage and support ad-hoc projects for the Directors.
  • Arrange travel and accommodation, including international travel, ensuring the Director(s) has/have all information required for the trip.
  • Prepare, collate and distribute papers in an organised and timely manner.
  • Build and maintain excellent relationships at all levels within the organisation, including regular communication via email, telephone and face to face, being a professional point of contact for the office.
  • Proactively keep up to date with relevant company policies and procedures to assist Director's compliance.
  • Assist the CEO with continuous improvement in delivering high performance across the organisation.
  • At times deal with customer service.
